1. Who we are
VM Media LLC (“VM MEDIA”, “we”, “us”) is a TikTok advertising agency registered in Sharjah Media City, Sharjah, United Arab Emirates. We are the controller of the personal data described in this policy.
- Email: hello@vm-media-agency.com
- Phone / WhatsApp: +971 58 510 4306
- Address: Sharjah Media City, Sharjah, United Arab Emirates
- Data protection contact: hello@vm-media-agency.com
This policy is written to meet the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021). Where you are in the EU or the UK, we also honour the rights the GDPR gives you.
2. What we collect
Information you give us
When you fill in a form on our website or a landing page, we collect what you enter:
- Contact form: your name, email address, and where you provide them: company, website, budget, market, what you need, and your message.
- Landing page forms: your name, WhatsApp number, website, and your monthly advertising spend range. Some pages also record a preference you select, such as a seating time for an event.
- WhatsApp: if you message us, we keep the conversation and your phone number so we can answer and follow up.
Information we record automatically
- Contact form submissions are stored together with your browser's user agent and a one-way hash of your IP address. We do not store the IP address itself. This exists to detect abuse and spam, nothing else.
- Funnel analytics. On our landing pages we record which step of a form a visit reached, against a random identifier generated in your browser for that visit only. It contains no IP address, no device fingerprint and nothing that identifies you. We use it to see where people abandon a form.
- Advertising parameters. If you arrive from an ad, the campaign name and the advertising platform's click identifier are stored with your enquiry so we know which campaign it came from.
Advertising and measurement technologies
Our pages load measurement pixels from TikTok, Meta (Facebook/Instagram) and Snapchat. These set cookies or similar identifiers in your browser and report events such as a page view or a completed form back to those platforms, which allows us to measure and target advertising. Those platforms act as independent controllers for the data they receive under their own privacy policies.
3. Why we use it, and on what basis
| Purpose | Data | Basis |
|---|---|---|
| Answering your enquiry and preparing a proposal | Form and WhatsApp data | Steps taken at your request before entering a contract |
| Qualifying an enquiry against the offer | Advertising spend range, website | Our legitimate interest in contacting suitable prospects |
| Delivering the service once engaged | Contact and account data | Performance of a contract |
| Preventing spam and abuse | Hashed IP, user agent | Our legitimate interest in protecting our systems |
| Improving our forms | Anonymous funnel events | Our legitimate interest in a working website |
| Advertising and measurement | Pixel data | Our legitimate interest in measuring advertising. Where your local law requires consent for this, you can withhold it using the controls in section 10 — see the note below. |
Being straight with you: our advertising pixels currently load when the page loads, before you are asked anything. If you would rather they did not run, use the browser and platform controls in section 10 — they take effect immediately and nothing on this site stops working.
4. Who we share it with
We do not sell personal data. We share it only with the providers that operate our systems, and only so far as they need it:
| Provider | What for |
|---|---|
| Supabase | Database and server functions where enquiries are stored |
| Vercel | Website hosting and delivery |
| Resend | Sending us the email notification for a new enquiry |
| Meta (WhatsApp Business) | The WhatsApp conversation itself |
| TikTok, Meta, Snap | Advertising measurement and targeting |
We may also disclose data where the law requires it, or to establish or defend a legal claim.
5. Where it is processed
Our providers operate internationally, so your data may be processed outside the country you live in, including in the European Union and the United States. Where a transfer leaves a jurisdiction whose law restricts it, we rely on the safeguards those providers offer, such as standard contractual clauses.
6. How long we keep it
We keep enquiries for as long as there is an active or realistic prospect of working together, and afterwards only where we need to for legal or accounting reasons. Anonymous funnel events are kept in aggregate and contain nothing that identifies a person. You can ask us to delete your data at any time, and we will unless the law requires us to keep it.
7. Your rights
Depending on where you live — in particular under the UAE Personal Data Protection Law, the Saudi Personal Data Protection Law, and the GDPR for visitors in the EU and UK — you have the right to:
- ask what data we hold about you and receive a copy;
- receive your data in a structured, machine-readable format, and have us transfer it to another controller where that is technically feasible;
- have inaccurate data corrected;
- have your data deleted;
- object to, or ask us to restrict, a particular use;
- object to processing carried out by automated means, including profiling for advertising;
- withdraw consent you have given, without affecting what we did before;
- complain to a supervisory authority — in the UAE, the UAE Data Office; in the EU or UK, your national authority.
To exercise any of these, write to hello@vm-media-agency.com. We answer within 30 days and will not charge you for it.
8. Automated qualification
When you submit a landing-page form, the advertising spend range you select is checked automatically against the threshold that offer is built for, and your enquiry is marked as qualified or not. This does not reject you and produces no legal effect — it only decides which list our team works through first. A person reads every enquiry either way, and you can ask us to review the outcome by writing to us.
9. How we protect it
Enquiries are held in an access-controlled database. Access is restricted to the members of our team who need it for their role, enforced by the database itself rather than by the application alone. Traffic to and from our systems is encrypted in transit. If a breach occurs that is likely to put your rights at risk, we will notify the competent authority and, where required, you.
10. Cookies and how to turn tracking off
The advertising pixels described above set cookies or similar identifiers. You can:
- block or delete cookies in your browser settings;
- turn off ad personalisation in your TikTok, Meta and Snapchat account settings;
- use your browser's “do not track” or tracking-prevention feature.
Blocking these does not stop you from using the site or contacting us.
11. Children
Our services are for businesses. We do not knowingly collect data from anyone under 18. If you believe a child has given us data, write to us and we will delete it.
12. Changes
If we change this policy we will update the date at the top of this page. Material changes will be highlighted here.
